Incoming Mail and Packages
Central Receiving and Mail Services (CRMS) receives, sorts and provides secure transportation of mail and packages received by couriers and Canada Post.
Items are delivered to the recipient’s designated mail delivery location on campus.
- CRMS is for university business only. Personal mail and packages that are not for UBC Okanagan should not be delivered to the university.
- Students living on campus should receive mail and packages directly to their residence mailing addresses. For more information, visit student housing.
How to address incoming items
All mail and packages must contain three pieces of information:
- Full name of recipient,
- UBC, department, and
- Building street address (Room numbers are not required)

Note: The common campus address ‘3333 University Way’ should not be used.

Faculty and staff: Remember to update your campus address in key areas, platforms include:
- Email signature
- UBC directory
- Workday
- Any accounts with preferred vendors and suppliers
CRMS receives mail and packages with incomplete addressing. It is vital that the Department Name and Recipient Name are included so the correct delivery location can be quickly determined and there are no delays to receiving of the product. The following process is followed when the recipient is unknown from the shipping labels/envelope:
- Opened immediately on receipt to determine who is the recipient.
- If current UBC employee routed to the mail delivery point
- If unknown after opening, mail will be returned to sender (where accepted) or destroyed
- If an item is marked “Private and Confidential”
- Listing a name that is unknown in Workday or UBC Directory it will be returned to sender unopened
- No name or department listed – opened to determine recipient
- No name listed but sent from another Post Secondary Institution – not opened and routed to Student Enrolment Services in case of transcript transfer
Packages
- Held for 3 business days to allow for recipient to claim the package
- If not claimed, open to determine the recipient
- If known, deliver to the relevant delivery point
- If unknown, items will be returned (if possible) or destroyed
Sorting and points of delivery
All mail and packages received at Central Receiving are sorted, processed and delivered within one business day to delivery points across campus.
Delivery appointments will be made for any item requiring a signature from the recipient, such as perishable goods.
CRMS maintains a database of labs and delivery points. To set up a new location, contact CRMS.
If you need an item urgently, contact CRMS at 250 807 9105 or centralreceiving.ok@ubc.ca and we will notify you of its arrival.
Otherwise, your item will be delivered on our next scheduled run to your area.
CRMS will receive your large and/or palletized shipment and hold it for a maximum of three business days while you prepare to receive the shipment.
A Facilities Work Request may be required to move the shipment to its final destination. CRMS will contact you when the shipment has arrived to discuss delivery options.
Recipients will receive an email from CRMS software when an item has arrived; you must respond to confirm intentions to pick up or to request delivery.
CRMS will arrange a delivery window for drop off.
Recipients will receive an email from CRMS software when an item has arrived; CRMS will deliver the item to your designated delivery point.
CRMS does not handle radioactive materials.
