Financial Reporting
To ensure that research objectives are met, sponsors generally require submission of a progress report and a financial report. The Principal Investigators (PI) is responsible for the completion and submission of the progress report. Research Finance is responsible for preparing all financial reports.
The frequency of reporting varies by sponsor and additional reports may be required. If you are contacted directly by a sponsor requesting a financial report, please reach out to your Research Financial Analyst before responding.
Reporting for External Sponsors
Tri-Agency (CIHR, NSERC, SSHRC)
Financial reports for the Canadian Institutes of Health Research (CIHR), Natural Sciences and Engineering Research Council (NSERC), and Social Sciences and Humanities Research Council (SSHRC) are prepared annually for the period of April 1 to March 31.
These reports, known as Form 300s, are generated by Research Finance using data from Workday. PIs are notified via Workday when their Form 300 is ready for review and signature.
Once signed, the forms are submitted by Research Finance to the Federal Financial Data Submission and Reconciliation System (FDSR), the official digital repository for Tri-Agency Form 300s.
PI Responsibility:
It is the PI’s responsibility to review and certify that:
- The financial report is accurate
- All expenditures comply with the general conditions and regulations outlined in the federal granting agency’s guidelines
- All expenditures align with the original purpose of the grant
Mitacs
Annual financial reports for Mitacs are also based on the Form 300 template and cover the period from April 1 to March 31.
Reports are due to Mitacs by May 31 each year, and this continues annually until the grant account reaches a zero balance. At that time, a final Form 300 is prepared within 30 days of the award end date. The final report must be signed by both the academic supervisor and Research Finance before submission.
PI Responsibility:
The PI must certify that:
- The financial report is accurate
- Expenditures comply with Mitacs’ grant regulations
- Funds were used for the intended research purpose
